An AI phone agent that answers, asks and books the appointment

The phone rings while your hands are in the work. You do not pick up, or you pick up and lose your concentration. And after five nobody answers at all — just when your customer finally has time to call.

The old world

Every missed call rings the next name in Google

A caller who reaches voicemail usually leaves nothing. They go back to the search results and ring number two. You never find out: a lost customer makes no sound and appears on no report.

Both escapes are poor. A phone menu drives people away before they reach anyone. And an answering service does pick up, but knows nothing of your prices, your lead times or your trade — so you get a note with a name and a number, and still have to call back yourself.

Example: five missed calls a week

Example figures. We take your own numbers from your call history — it records exactly how many calls went unanswered.

The turn

Not a recording that answers. Someone who has the conversation.

Your number stays your number. What changes is who answers when you cannot: an AI phone agent who knows your products, prices and lead times. No menu and no "press 1 for sales" — it opens with a question and listens to the answer.

One incoming call Your own number, your own agent
Question answered — price, lead time, options Appointment or quote booked in Put through to you when it matters Cold caller politely turned away
Four outcomes, and in all four you can read what was said.

What it settles on its own and where it brings you in, you decide up front. Pricing, discounts and commitments can always stay with you; it simply says it will fetch someone for that.

An answering service notes down who called. Your agent has already had the conversation — it knows your prices, because it knows nothing but your company.

And it is always there. Not nine to five, not until the holidays start, and not short-tempered at five to six. Every caller gets the same conversation as the first one that day.

An evening with Arthur

What happens after hours

Arthur answers the phone at J-Pro Solutions. This is an ordinary evening from his own call history — two of these conversations are written out word for word elsewhere on this site.

  1. 19:12 A customer calls about a DTF print. Arthur answers, introduces himself and asks what the call is about.
  2. 19:14 "Am I talking to a chatbot?" Arthur says honestly that he is the digital version — and simply carries on helping. The customer stays on the line.
  3. 19:16 He asks for the dimensions, works out the price per metre and names the amount. No "I will get back to you on that".
  4. 19:18 The file is a PNG. He explains which formats do work, gives the right address and says how to request a rush job.
  5. 20:47 A salesperson tries to sell an inspection. Arthur stays polite, points to the general address and rings off. You never hear about it.

The next morning there was one new enquiry and zero interruptions. Exactly the reverse of an ordinary evening.

Why better, not just cheaper

What an answering service cannot do for you

An external call centre answers on behalf of twenty companies and works from a script. Your agent works from your price list, your lead times and your way of doing things — and learns the moment any of that changes.

The new world

What changes about your day

The phone still rings, but it no longer has to interrupt you. What was a simple question is answered before you knew about it. What was a customer arrives in your inbox as a complete enquiry. And what was a cold caller never reached you at all.

What you gain is the part of the day you now lose to answering, restarting and calling back — plus the callers you have never spoken to because it was after five.

Every caller answered. Including the one at a quarter to nine at night.

Getting started

What you have to do yourself

One conversation about how your phone works now: who answers, what goes wrong and where the line is on what an agent may settle alone. We set up the switchboard, load your prices and your way of working, and have it listen in before it answers anything itself.

Frequently asked questions about an AI phone agent

Will my customers hear that they are talking to a computer?

Often yes, and that is fine. It does not lie about it: if someone asks, it says it is the digital colleague. In practice the conversation simply continues — that is literally what happens in one of the transcripts on this site.

What if it does not know the answer?

Then it invents nothing. It says it will check, records the question and puts it in front of you — or transfers straight away if you set it up that way.

Can it transfer to me or a colleague?

Yes. You decide on which subjects that happens and at what times. Outside those hours it takes the question and makes sure you find it complete.

Do I have to change my phone number?

No. Your number stays yours; the only thing that changes is what happens when nobody picks up. You can also have it answer only outside office hours and keep everything yourself during the day.

What does an AI phone agent cost?

That depends on how many calls come in and how much it may settle itself. We deliberately have no standard price list. What we do: take your call history and show how many calls currently go unanswered.
