A bookkeeping agent that processes your paperwork the moment it arrives

The receipts are in the glove box, the invoices in three folders and the webshop orders in a system that shares nothing with your bookkeeping. Every quarter that costs you a few evenings — and your accountant a few questions.

The old world

It is not hard. It just piles up.

Entering a receipt takes a minute. A hundred and fifty receipts on a Sunday evening in March take an evening, and that is before the question of which ones are missing. Bookkeeping is not complicated work; it is work that takes revenge when you postpone it.

And it is not only time. A receipt you lost is VAT you do not get back. A payment you cannot place is an hour of searching. And a messy set of books is an accountant's invoice that comes out higher than it needed to.

Example: an average one-person business

The turn

Processed as it arrives, not at the end of the quarter

A receipt you photograph at the till is a receipt you do not lose. A webshop order that gets paid is an invoice that can write itself. The work is not heavy — it just has to happen at the moment it comes past, and that is exactly the moment you are doing something else.

Your bookkeeping, up to date With the right reference attached
Four streams, one set of books — and no pile at the end of the quarter.

The agent reads what comes in, takes out the amounts and the VAT, and prepares it in your bookkeeping. What it is certain about, it posts. Where it doubts, it leaves a draft with the reason attached — it does not gamble with your figures.

An accountant sees your books four times a year. Your agent sees them every day, and that is exactly why there is nothing left to repair at the end of the quarter.

And it thinks ahead for the bank: every invoice gets a reference so the payment later falls into place by itself. That is one line of work at the front, and an hour less searching at the back.

A month with Jannes

What happens without you filing anything

Jannes does our own bookkeeping. This is an ordinary month, from his own processing.

  1. Continuously Every paid webshop order automatically becomes an invoice in the books, with the reference that lets the bank statement match later.
  2. On arrival A photo of a receipt from your phone is read, recognised and prepared as a purchase invoice. Amount, VAT and supplier extracted.
  3. On doubt An unclear receipt or a duplicate invoice stays as a draft, with the reason attached. You decide; it does not post regardless.
  4. Weekly Payments are walked through: what is matched, what is still open, and which customer is late.
  5. End of month An overview in plain language: what was processed, what is waiting for you and whether anything is missing.

At the end of the quarter there is nothing to catch up on, because nothing was left behind.

Why better, not just cheaper

What a bookkeeping package does not do for you

A bookkeeping package is an empty barn: it keeps what you put in it. It does not chase your receipts, it does not notice something is missing, and it does not tell you a customer has not paid for six weeks.

The new world

What changes about your quarter

The evenings before the return disappear, because there is nothing to catch up on. The receipts are already in, the invoices are ready, and the payments were matched as they arrived.

And you get back something you previously only had in hindsight: a view of where you stand, at any moment instead of three months later.

No more pile. Just books that already add up.

Getting started

What you have to do yourself

Point at your bookkeeping package and agree once what may happen automatically and what you want to see first. We connect your webshop, your inbox and the receipts app, and let it run alongside for a month without posting — so you can check its work before you rely on it.

Frequently asked questions about a bookkeeping agent

Does this work with my bookkeeping package?

With the common packages, yes; ours runs on Jortt. If yours cannot be connected, we say so before we start — not after you paid for an investigation.

Does it post things wrongly?

Only what it is certain about gets posted. The rest stays a draft with the reason attached. And everything can be undone, because every entry traces back to the document it came from.

Does this replace my accountant?

No, and that is not the aim. Your accountant checks, advises and files. What disappears is the data entry they are too expensive for and you have too little time for.

What about my data?

Your books stay in your own bookkeeping package, on your own account. We build the processing around it; we do not become the place where your figures live.

What does a bookkeeping agent cost?

That depends on how many documents come past each month and which connections are needed. We deliberately have no standard price list. We start by counting how many receipts and invoices you actually process each month.
